Who will review the files?
Name the reporting lead or compliance scheme receiving the handover. Agree the format, the decision owner and what they need to understand about any assumptions.
Which products and period are included?
Use an agreed range and reporting period. Keep a record of additions, removals and the revisions that apply, so old and current specifications do not quietly mix.
Can each detail be traced to a source?
Keep document references, revisions and applicability with the record. Distinguish a figure supplied by a supplier from a measurement or estimate made elsewhere.
What is still unanswered?
List each missing specification or responsibility question. Give it a named next owner and a clear request. An empty cell should not silently become a confirmed answer.
Who approves the next step?
Confirm who will review unresolved items and who is responsible for any reporting submission. Data preparation is one part of that process, with its own scope.
Practical preparation guidance, not a legal obligation test. Agree reporting requirements and responsibilities with your reporting lead or compliance scheme.
